Privacy Policy for Write The Future
When signing up as a participant for Write The Future, Hall 14's Freshmen Orientation Programme 17/18, you will be required to fill and submit 2 printed forms and 1 online form to us. We, the 16/17 Main Committee of the Hall 14 Frehsmen Orientation Committee (XIVFOC) for Write The Future, Hall 14's Freshmen Orientation Programme 17/18 want to help you understand why we collect your personal data, how we handle it, and when and where your data may be passed on to. By submitting any of the forms and/or participating in the camp, you agree to trust us fully in the storing, handling and use of your personal data.
How do we collect your personal data?
The first document, "Consent Form", is a required submission to the school, Nanyang Technological University (NTU), while the second document, "Freshmen Registration and Indemnity Form 2017", will be collected by Hall of Residence 14. After submitting these 2 forms to your Orientation Group Leaders (OGLs), they will be collated and then handed over to the respective parties.
The data entered online in the NTU Event Registration System (ERS) will be used by XIVFOC to facilitate the organization and the running of the orientation programme.

How would we use your personal data?
We only use the information you have provided in the NTU ERS. Only the data you have provided us in the form will be used to facilitate the running of the orientation. We will not pull any additional data from any other data sources or social media platforms using the data you have provided in any of the forms.
Some data will be passed on to your CGLs. Prior to the start of camp, the Chief Group Leaders (CGLs) of your Orientation Group (OG) will receive a small, relevant portion of your personal data, such as your name, your tee size, your allergies and your dietary preferences. This information may remain with your CGLs even after the duration of orientation to allow the continuation and management of the OGs after the end of camp. Your CGLs may pass on these data to your OGLs to facilitate the running and the management of the OG during the orientation programme.
Your personal data may be used or released in an emergency. If an emergency occurs, your next-of-kin you have provided in the form will be contacted. In a medical emergency or an incident that requires medical attention, your personal data may be released to the relevant hospitals/clinics for admission of medical services and for incident reporting purposes.

Consent to take and use your photos and videos
By participating in the preparations and/or the actual camp, you consent to having your photos and videos of you taken and stored, and to have them distributed by XIVFOC for use in the reporting, marketing, and running of the camp and any future events in Hall 14. You also agree to be proactive in having your photos and videos taken.
